Job Description:
Job Title: Project Coordinator
Location: Quincy, MA (Hybrid)
Duration: 6 Months (Tentative) Summary: A state government agency s IT department is seeking a dynamic Administrative Project Coordinator with a high level of professionalism, strong organizational skills, and the ability to thrive in a fast-paced, performance-driven environment. This role will serve as the primary administrative support and coordinator for the Chief Information Office (CIO). Job Overview: The Project Coordinator will be responsible for core daily administrative operations and coordination of high-priority activities. The role will also support ad hoc projects, executive requests, and presentations. The ideal candidate is a motivated self-starter, a quick learner, and an effective communicator with strong adaptability and proficiency in Microsoft Office. Key Responsibilities:
  • Manage special assignments and projects by setting goals, prioritizing tasks, coordinating team collaboration, tracking progress, and adjusting plans as needed.
  • Conduct research and data collection for reporting and documentation; create summary charts, graphs, and visuals.
  • Coordinate monthly executive meetings, including agenda preparation, materials, and follow-up activities.
  • Provide calendar management backup for the State Chief Information Officer (SCIO).
  • Prepare agendas and materials for meetings; manage reminders and follow-up tasks.
  • Attend meetings, take minutes, and manage documentation both digitally and in print.
  • Organize off-site meetings/events and support related logistics for Executive Management.
  • Support daily office operations, including facility-related requests and office supply management.
  • Serve as liaison to Facilities for safety issues and IT Legal for H1B letter requests.
  • Create and track H1B letters and maintain accurate records.
  • Assist with staff education regarding office policies and procedures.
  • Foster and maintain a professional office environment for executive IT staff.
  • Provide general administrative assistance to IT staff, including in-person and virtual support.
  • Perform additional tasks as needed.

Qualifications:
  • Strong proficiency with Microsoft Office Suite (Word, Excel, PowerPoint, Access, Visio).
  • Ability to handle confidential information with discretion.
  • Excellent verbal and written communication skills across multiple organizational levels.
  • Ability to work independently with minimal supervision.
  • Strong judgment, reasoning, and decision-making abilities.
  • Basic understanding of IT technologies and workflows.
  • Skilled in creating charts, graphs, and pivot tables.
  • Ability to multitask and prioritize in a deadline-driven environment.
  • Highly organized, proactive, and detail-oriented.
  • Strong initiative and problem-solving skills.
  • Reliable and responsive with a flexible attitude.

  • Must maintain a distraction-free remote work environment.
  • Must have high-speed internet to support virtual meetings and work activities.

Education:
  • Bachelor's degree in business or a related field, or equivalent professional experience.
