Key Responsibilities The Finance & Operations Officer will be responsible for the effective management of Yoghurt Digital financial operations. This role will include maintaining and producing financial statements for the company as well as providing reporting and analysis to support decision making and ensure the financial integrity of the business. The position is central to maintaining operational efficiency and delivering clear, timely financial insights to the leadership team.
Specific Responsibilities for this role include: Financial Operations - Manage invoicing, credit notes, payments and reconciliations in Xero.
- Manage accounts payable (AP) and accounts receivable (AR), ensuring timely payments, collections, and reconciliation of supplier and client accounts.
- Maintain accurate and current general ledger entries, including journalling and month-end adjustments.
- Maintain fit-for-purpose general ledger and cost-centre structures, identifying and implementing enhancements to improve the accuracy and clarity of financial reporting.
- Complete bank reconciliations, receipting, and credit card transaction processing.
- Process payroll, superannuation, and employee reimbursements in compliance with legislation.
- Prepare and submit BAS, PAYG, and superannuation obligations, and liaise with external accountants for end-of-year financial return submissions.
- Conduct regular internal audits of the Profit & Loss statement, Balance Sheet, and journal entries to ensure accuracy, compliance, and financial integrity.Oversee business insurances, registrations, and renewals.
- Support HR processes such as onboarding documentation, leave tracking, and timesheet reconciliation.Liaise with external accountants, tax agents, and auditors as required.
Financial Reporting & Analysis - Prepare monthly management reports, cash flow summaries and P&L statements
- Conduct variance and trend analysis to identify key business drivers, risks and opportunities
- Deliver budget and forecasting using data from other key systems to forecast financial reporting for leadership
- Build and maintain dashboards that provide accurate, real-time insights and ensure data integrity for clear visibility and decision-making.
- Manage supplier contracts, subscriptions, and procurement workflows.
- Manage client ad spend accounts in Xero to ensure accuracy and tracking of ad spend and invoicing to suppliers
- Generate ad-hoc financial reports for campaigns, clients, or strategic planning purposes.
- Assist with onboarding and general business administration tasks.
- Liaise and manage job costing and margin analysis is being maintained for client work with the Heads of Production teams.
The role will also ensure compliance with ATO, Fair Work, and superannuation regulations, maintain accurate financial records in line with statutory and audit requirements. The role will also be required to support preparation of documentation for external audits or funding reviews.
KPI- Accuracy of Financial Records- ≥ 98% accuracy in general ledger entries, journals, and reconciliation processes (measured through internal audit checks).
- Timeliness of Month-End Close- Month-end completed within 5 business days with all journals, reconciliations, and management reports submitted on time.
- Accounts Payable & Receivable Cycle Time- 100% of supplier invoices paid within agreed terms- 95% of client invoices issued within 2 business days (as per internal process)
- Debtors Management- Maintain < 5% outstanding receivables over 30 days, and 0% over 60 days unless under dispute.
- Payroll Accuracy & Compliance- 100% error-free payroll, superannuation, and employee reimbursements processed correctly and on schedule.
- BAS/PAYG/Superannuation Submission Compliance- 100% on-time lodgement of BAS, PAYG, STP, and superannuation obligations with no compliance breaches.
- Budgeting & Forecasting Quality- Quarterly forecasts within ±5–10% variance of actuals (measuring accuracy and quality of planning).
- Financial Dashboard & Reporting Availability- Dashboards updated monthly and data quality maintained at 100% integrity (no missing or inconsistent data).
- Contract, Subscription & Procurement Management- 100% of supplier contracts and subscriptions tracked, renewed on time, and reconciled against budget
- Internal Audit & Compliance- Internal audits of P&L, Balance Sheet, and journals conducted quarterly, with all identified issues resolved within 10 business days.
