The Opportunity We are seeking an experienced
Training Administrator / RTO Administrator with a strong RTO background to support training delivery across
NIOT (RTO 90804) and
TRACMIN (RTO 51895).
This role focuses heavily on
data accuracy, regulatory compliance within state funded contracts and student lifecycle management within a high-performing RTO environment.
Key Responsibilities
Core Functions- Ensure all student files and documentation meet RTO compliance and audit requirements
- Manage end-to-end student lifecycle processes (enrolments, commencements, completions, withdrawals)
- Conduct eligibility checks (FFS, funding, fee waivers) and verify supporting evidence
- Maintain accurate and compliant records in aXcelerate
- Monitor and resolve data errors, discrepancies, and outstanding compliance items
- Support reporting and lodgements (including TAMS and rectifications)
- Ensure correct handling of qualification-specific requirements (e.g. WWCC, supporting documentation)
aXcelerate & Data Management- Enter and maintain data for LLN, attendance, units, and student support notes regularly
- Process unit commencements and completions with accuracy
- Track student progression and follow up missing or incomplete data
Student & Trainer Support- Professionally respond to student enquiries and manage administrative processes effectively
- Work closely with trainers to support compliant delivery
- Manage attendance tracking and communication processes
General Administration- Process invoicing and maintain financial records
- Manage document control, filing, uploads, and archiving records
- Print certificates, manage cards, and coordinate document distribution
- Support student placements and liaise with host employers
Requirements
- Proven experience in RTO Administration with strong compliance exposure
- Good understanding of ASQA standards and audit expectations
- Strong understanding of WA DDTWD funding requirements (highly regarded)
- Strong working knowledge of aXcelerate (highly regarded)
- High attention to detail and accuracy in data management
- Ability to identify and resolve compliance gaps and risks
- Team player, Organised, proactive, and confident working in a fast-paced environment
