The Office Assistant will perform a wide range of administrative and support activities for the department and/or managers and supervisors to facilitate the efficient operation of the organization.
Job Responsibilities:- Answer, screen and transfer inbound phone calls
- File and update contact information of customers, suppliers and external partners
- Maintain electronic and hard copy filing system
- Prepare and modify documents including correspondence, reports, drafts, memos and emails
- Manage multiple online storage accounts
- Schedule and coordinate meetings, appointments and travel arrangements for managers or supervisors
- Record, compile, transcribe and distribute minutes of meetings
- General clerical duties including photocopying, fax and mailing
Job Requirements:- Recent college graduate or candidates who have extensive experience in Chemistry, Engineering, Mechanical, Electrical or Materials is preferred
- Fluent in both Mandarin and English with proficiency in speaking, reading, and writing is preferred.
- Excellent written and verbal communication skills
- Familiarity with office organization and optimization techniques
- A high degree of multi-tasking and time management capability
- Integrity and professionalism
- Proficiency in computer skills (Mac System) and MS Office (Word, Excel, PowerPoint)
- Proven experience in E-Commerce customer support environment (a minimum of 6 months of administrative/clerical experience) is preferred
