Job Summary

The Office Administrator (LMIA) is responsible for coordinating and supporting the administration of the Temporary Foreign Worker (TFW) and Labour Market Impact Assessment (LMIA) programs while ensuring compliance with applicable legislation, company policies, and operational requirements.

Responsibilities

  • Manage the Labour Market Impact Assessment (LMIA) including all reporting requirements, recruitment activity, applicant screening, interviews, and ensuring ongoing compliance with applicable federal and provincial regulations, policies and procedures
  • Secure and regulate migrant accommodations
  • Coordinate the end-to-end lifecycle of Temporary Foreign Workers (TFW), overseeing onboarding, regulatory documentation, and benefits administration. This includes maintaining personnel records, coordinating training, and managing essential support services such as insurance and uniform programs.
  • Work collaboratively with the team to support the day-to-day operations, compliance, and overall standards of the bunkhouses, including inspections, sanitation coordination, reporting concerns, and working closely with bunkhouse leaders to ensure a safe, organized, and compliant living environment
  • Maintain bunkhouse protocols ensuring compliance with all health and safety, Food Safety & Cleaning measures.
  • Serve as a primary support resource for Temporary Foreign Workers by addressing employee questions and concerns, coordinating appointments, transportation, vacation scheduling, travel arrangements, employee events, and other employee support services as required
  • Maintain employment-related documentation and compliance activities including orientation, attendance tracking, correction actions, incident reporting, resignations, terminations, inspections and administration follow-up documentation.
  • Track and maintain employee attendance records within Priva and ensure attendance-related documentation and disciplinary records are completed accurately and in a timely manner
  • Support Health & Safety and WSIB-related processes including incident and injury reporting, documentation maintenance, modified work coordination, and follow-up communication as required
  • Schedule all compliance inspections as required
  • Maintain the integrity of the LMIA and TFW programs, while carrying out responsibilities with professionalism, confidentiality, and a strong attention to detail.
  • Provide general administration duties in support of the General Manager and others as assigned
  • Other core expectations as defined by the company

Qualifications

  • Post-secondary education in Human Resources, Business Administration, Office Administration, or a related field preferred
  • Bilingual, both verbal and written, in English and Spanish languages required
  • Minimum one (1) year of experience in administration, Human Resources, LMIA coordination, Temporary Foreign Worker programs, or a related field preferred
  • Experience in greenhouse or produce industry is considered an asset
  • Intermediate level of Microsoft (MS) Suite (Word, Excel, PowerPoint)
  • Excellent verbal and written communication skills with the ability to communicate professionally with employees, management, external agencies, and government representatives
  • Ability to handle sensitive and confidential information with professionalism and discretion
  • Strong organizational, administrative, and time management skills with the ability to manage multiple priorities in a fast-paced environment
  • Strong attention to detail with proven accuracy and follow-through skills
  • Experience with employee databases, attendance systems, or HR-related software considered an asset
  • Ability to work independently as well as collaboratively within a team environment

Work Environment

  • Hours of work may vary depending on business needs
  • This position operates primarily in an office environment but will require regular interaction within greenhouse, bunkhouse, and operational facilities
  • Exposure to hot and humid greenhouse conditions may occur periodically, particularly during summer months

  • Role routinely uses standard office equipment such as computers, phones, photocopiers, and filing cabinets.
  • Prolonged periods of sitting, standing, walking and computer usage.
  • Standing and walking for prolonged periods of time may be required
  • Occasional travel between company locations, bunkhouses, appointments, or external service providers may be required

Compensation & Benefits

This position offers a salary range of $50K – $60K CAD annually, commensurate with experience, skills, and internal equity. In addition, Pure Flavor provides a competitive total rewards package that includes company-paid benefits, RRSP matching, and paid time off.
