This role requires on-site presence in the Geelong office at least 4 days per week.Key Responsibilities
  • Develop and implement office policies and administrative procedures to ensure efficient and compliant operations
  • Identify and improve office systems, processes, and workflows to enhance productivity
  • Oversee daily office operations and ensure smooth administrative functioning
  • Supervise office staff, monitor performance, and coordinate workflow
  • Manage client communication, correspondence, and preparation of official documents
  • Maintain an organised and efficient office environment
  • Coordinate employee schedules and resolve operational conflicts
  • Support recruitment, onboarding, and workforce planning
  • Handle invoicing, expense reporting, and financial documentation
  • Monitor and manage office budgets and resource allocation
  • Ensure compliance with government regulations and company policies
  • Coordinate HR activities including recruitment, onboarding, performance management, payroll support, and training

Skills & Experience Required
  • Education: Associate degree or higher in Business Administration, Management, Marketing, International Trade, or related field
  • Experience: Minimum 4 years in office Manager (management) or a senior administrative role
  • Industry Background: Experience in Accounting or Law firms preferred
  • Compliance Knowledge: Familiarity with regulatory requirements is an advantage
  • Language Skills:
    • Excellent English communication (written & verbal)
    • Urdu & Punjabi proficiency highly desirable
  • Technical Skills: Strong proficiency in MS Office and office/inventory management systems
  • Personal Attributes:
    • Strong organisational and leadership skills
    • High level of discretion and confidentiality
    • Ability to multitask and manage competing priorities
    • Proactive, collaborative, and detail-oriented
