RTS Consulting Automation is seeking a dedicated and detail-oriented Office Administrator for a
15-months maternity leave contract. This role is a unique opportunity to support the growth of our company by ensuring the seamless execution of day-to-day office operations. Responsibilities:
- Oversee general office operations, active management, and staff support.
- Liaison with the external day-to-day accountant, year-end accountant, year-end accountant, and document exchange contacts within the Indian operations, while creating/optimizing the engagement protocol between the accountant and yourself.
- Coordinate with staff and customers to help process invoicing.
- Accounts Payables – deal with vendors.
- Accounts Receivables – collections as per ISO.
- Issue required documents to comply with customer payment terms.
- HR – expanding our Canada, India, and USA staff by providing LMIA and VISA support, travel arrangements, payroll admin, etc.
- Manage and supervise staff timesheets.
- Control and execute company and employee documents.
- Office and Administrative Supplies and Services.
- Procurement – Expediting.
- Oversee Vacation allowance, sick days, and banked time.
- Internal communications and organizing social events.
- New employee orientation, documentation, and onboarding.
- Employee project or RTS general expenses posting.
- Employee handbook revisions/updates.
- Create and maintain office SOP/ISO procedures documentation.
- Coordinate, track, and update by actively working with cross-functional teams and IT to get necessary staff hardware/software tools and access for employees.
Skills, Experience, and Credentials:
- HR background and experience
- Detail-oriented and takes initiative where needed to do the right thing
- 1 year minimum Canadian experience doing office administration
- Good written and verbal communication capabilities
- Knowledge of general accounting and project-based business principals
- Experience and proficiency with MS Office (Excel, WORD, Outlook, etc.)
- Bachelor's degree
