Job Description:
Front Office Administrator – Automotive Repair & Service We are an automotive repair and collision repair business seeking a front office administrator with experience in the automotive repair, collision repair and paint industry. Position overview The front office administrator is responsible for providing professional customer service at reception, coordinating jobs between customers and the workshop, and handling day‑to‑day office and basic bookkeeping tasks. The role supports the efficient running of the workshop by managing calls, bookings, parts, and customer communication. 40 hours per week $26-$36 per an hour depend on experience Free vehicle service and free WOF Discounted parts price Ongoing training Key responsibilities
  • Greet customers in person and by phone, providing friendly and professional service.
  • Answer incoming calls, respond to enquiries, and direct calls to the appropriate staff.
  • Create, schedule, and manage bookings for repairs, servicing, and collision work.
  • Prepare job cards and liaise with mechanics and painters regarding workload and timelines.
  • Source parts using platforms such as Parts Trader and other suppliers, obtain quotes, and confirm availability.
  • Communicate with customers about repair progress, expected completion times, and any changes or additional work required.
  • Issue invoices, collect payments, and manage daily reconciliation of bill payments.
  • Enter and maintain financial transactions in Xero for bookkeeping purposes (sales, purchases, basic reconciliations as required by the role).
  • Maintain accurate customer and vehicle records and ensure documentation is filed and up to date.
  • Monitor and control stock levels for consumables such as oils, filters and other workshop items, and place orders when required.
  • Support the workshop team with general administrative tasks and coordination as needed.
  • Ensure the reception and waiting area are clean, tidy, and welcoming.

Skills and experience
  • Previous experience in an automotive repair, collision repair or paint shop front office or similar role.
  • Good understanding of basic automotive terminology and workshop processes.
  • Confident telephone manner and strong customer service skills.
  • Experience with mechanic/workshop desk systems or job management software (preferred).
  • Practical experience using Xero for basic bookkeeping and invoicing.
  • Strong organisation and time‑management skills, with the ability to handle multiple tasks at once.
  • Good written and verbal communication skills.
  • Attention to detail and accuracy in data entry, invoicing and record‑keeping.
  • Ability to work cooperatively with mechanics, painters, suppliers and management.
