one HR & Administrative Coordinator to support both our
Ontario (ONT) and
Rialto (RTO) warehouses in California.

Rotation Schedule :- Monday / Wednesday / Friday: ONT
- Tuesday / Thursday: RTO
Work Hours:Monday–Friday, 8:30 AM – 5:00 PM
Responsibilities Human Resources Recruitment & Staffing - Support hiring for frontline warehouse positions (general labor, equipment operators, etc.), with a clear understanding of role differences.
- Work closely with warehouse operations to assess staffing needs, including headcount, job types, pay rates, shifts, and labor categories.
- Coordinate with staffing agencies to arrange new hires, including temporary labor when needed.
- Assist with specialized hiring requests based on business needs, such as live streaming–related roles.
Onboarding & Employee Records - Conduct new hire onboarding and arrange basic training.
- Supervise and coordinate forklift operation evaluations when applicable.
- Maintain accurate employee records and upload required documentation into the employee database in a timely manner.
Employee Status Management - Support employee probation completion, pay adjustments, and other status changes based on performance and operational feedback.
- Track and record employee attendance and leave (e.g., sick leave, PTO).
- Update employee records promptly upon termination and coordinate with operations on replacement needs.
Timecard & Invoice Management - Verify weekly employee timecards with warehouse operations and staffing agencies.
- Review staffing invoices, submit payment requests, and follow up on billing processes.
Other HR Support - Post holiday announcements and assist with employee relations and conflict coordination.
- Maintain and expand staffing agency partnerships and actively explore new staffing resources.
Administration Purchasing & Supplies - Handle daily and urgent purchasing needs (online and in-person).
- Track purchased items, monitor deliveries, and submit purchase approvals.
- Proactively monitor warehouse consumables and replenish supplies (e.g., cleaning items, printer paper).
Vendor Management - Build and maintain vendor lists for both warehouses, including maintenance, equipment, and city-related service providers.
- Quickly identify and coordinate with appropriate vendors when issues arise.
- Maintain a solid understanding of warehouse operations and basic facility information.
Employee Welfare & Activities - Arrange monthly snacks, team meals, and holiday gifts for warehouse staff.
- Support HQ-led administrative activities (e.g., holiday decorations, special events).
- Assist office employees with meal reimbursement submissions.
Safety & On-Site Management - Conduct 5S inspections 2–3 times per week and report findings.
- Monitor warehouse cleanliness and safety conditions, identifying and addressing potential hazards.
- Perform monthly fire extinguisher inspections and coordinate vendor repairs if needed.
- Support daily forklift safety check practices in collaboration with operations.
Other Administrative Support - Inventory and track warehouse equipment and assets.
- Greet visitors, drivers, and customers; answer business phone calls.
- Monitor security cameras and respond appropriately to unusual situations, including contacting authorities if necessary.
- Communicate and coordinate with shared warehouse partners.
Other Responsibilities- Complete other tasks assigned by management.
- Participate in HQ projects based on individual capability; strong performers may receive expanded responsibilities and advancement opportunities.
Qualifications- Patient, detail-oriented, responsible, and trustworthy.
- Strong communication skills and ability to handle multiple tasks simultaneously.
- Proficient in Microsoft Office and Google Workspace.
- Able to commute between Ontario and Rialto warehouses; valid California driver’s license required.
- Willing to drive for work-related errands (purchasing, food pickup, etc.).
- Comfortable working in a warehouse environment and being on-site.
- Fluent in both English and Mandarin, able to communicate with mechanics and vendors regarding equipment issues.
- Strong teamwork and communication skills.
- Able to strictly maintain confidentiality regarding HR matters.
Compensation & Benefits Hourly Rate - Probation: $20–$22/hour
- Post-probation: $23–$24/hour

Employment StructureThis position will initially be hired through a staffing agency, which offers
more flexible sponsorship and benefits options.
